How to Setup your POP3 email account in Outlook 2013

with SSL Support


Follow these steps to setup your POP3 email account with Microsoft Outlook 2013. If you still have issues after having followed this guide, please contact us.

Prerequisites

The following are required in order to carry out a successful setup - Your password was provided to you by Nextgen Technology, when you signed up. The mail server details are:

  • Incoming mail sever details:
    • Account Type - POP3
    • Email address - name@yourdomain.com
    • Incoming mail server - mail.yourdomain.com
    • Password for email address
    • Port number - 995
  • Outgoing mail sever details:
    • Outgoing mail server (SMTP) - mail.yourdomain.com
    • Port number - 465

Setup New POP3 Email Account

In Outlook:

  • Click on File Info Account Settings Account Settings
  • Under the Email tab, click New ... Outlook Setup Image 01
  • Select Manual setup or additional server types and click Next > Outlook Setup Image 02
  • Select POP or IMAP and click Next > Outlook Setup Image 03

Add Email Account Details

  • Under User Information, add your name and email address
  • Under Server Information, select POP3 as the Account Type and enter in the incoming and outgoing mail server obtained from the Prerequisites section above.
  • Under Logon Information, add your email address for User Name and the corresponding password in the password field. Outlook Setup Image 04

Add authentication for Outgoing Server

  • Within the Add Account page, click on More Settings ... Outlook Setup Image 05
  • On the Outgoing Server tab of the Internet E-mail Settings window, check the box labelled My outgoing server (SMTP) requires authentication, then select the Use same settings as my incoming mail server checkbox. Outlook Setup Image 06

Enable SSL connection for Incoming and Outgoing servers

  • On the Advanced tab of the Internet E-mail Settings window, complete the following:
    • Change the port number for Incoming server (POP3) to 995
    • Check the This server requires an encrypted connection (SSL) box
    • Change the port number for Outgoing server (SMTP) to 465
    • In the dropdown box next to Use the following type of encrypted connection, select SSL
    • Uncheck the box Leave a copy of messages on the server

  • Click OK when done

Test Account Settings

Back in the Add Account window, click on Test Account Settings ... button to test the settings. If successfully setup, you should get this screen:

Click Close

Complete setup

Back in the Add Account window, you can uncheck the option to test the email settings again, then click on Next and then Finish in the last window.
